Folder Tracking

When files are moved from their normal storage area to other locations, it is necessary to keep track of where the file is currently located. This is an electronic “pull card” system.

Check out folders:

You can check the folder out of its normal location and indicate where the folder will be located.

  • Folder Type: Select the type of folder you are moving.
  • Removed date/time: Enter the date/time the file was moved. You can hit a T or leave blank for the current date and time.
  • Location: Enter the location the folder is being moved to.
  • Case or file number: Enter the case number if it is a case related file. If it is not a case related file but a person related file, such as a medical folder, enter the file number.
  • The above is a file number, not a case number: If you entered a file number, please click this. If you entered a case number, do not click this. Quest needs to know if it should be looking for a file number or a case number.

Click on the UPDATE button or press ALT+U to save your changes.

You will notice that after updating, everything remains on the screen but the case/file number box. This makes it very easy to move a group of files from one location to another. You just simply change the case/file number.

In the CASE DETAIL screen, under Folder locations, it is very easy to see where the folder is presently located.

To move it to another location, simply check out folder to another location.

Check in folders:

If a group of folders is being returned to their normal storage area, you can use this feature to quickly check them back in.

  • Folder Type: Select the type of folder you are receiving.
  • Returned date/time: Enter the date/time the file was returned. You can hit a T or leave blank for the current date and time.
  • Case or file number: Enter the case number if it is a case related file. If it is not a case related file but a person related file, such as a medical folder, enter the file number.

Folder Locations:

This will show you a history of the different locations of the file. This is a shortcut screen to Menu, Case, Folder Locations. From here you can add new locations for case files and person files.
